By using our website or services, you agree to these Terms.
Our role
Needle Tailed Swift provides flight booking assistance, travel search support, itinerary assistance, customer support, and related services.
Unless expressly stated otherwise, we act as an independent booking assistance provider or intermediary. We are not an airline, airport, immigration authority, government agency, global distribution system, payment card issuer, loyalty program operator, or travel service provider.
Flights and other travel services are supplied by airlines and other third-party providers. Those suppliers are responsible for operating flights, setting fares, issuing tickets, applying baggage rules, determining schedule changes, administering loyalty programs, handling airport operations, and deciding whether a passenger may travel.
Our role is to assist you with booking-related requests. We do not control airline operations, airport disruptions, government requirements, immigration decisions, fare availability, supplier systems, or loyalty program rules.
Supplier terms also apply
Your booking may be subject to additional terms, rules and conditions imposed by airlines, airports, payment processors, loyalty programs, booking platforms, global distribution systems, government agencies, visa providers, insurers, accommodation providers, transport operators, and other third parties.
These may include:
- airline conditions of carriage
- fare rules
- baggage rules
- ticketing deadlines
- name correction rules
- refund and cancellation rules
- schedule change policies
- loyalty program terms
- airport and security requirements
- visa, passport, health, customs and immigration requirements
- payment processing terms; and
- fraud prevention or identity verification requirements
You are responsible for complying with all supplier terms that apply to your booking or travel.
If there is an inconsistency between these Terms and mandatory airline, supplier, airport, government, immigration, or legal requirements, those requirements may prevail to the extent of the inconsistency.
Accuracy of booking information
You are responsible for ensuring that all information you provide to us is complete, accurate, current and suitable for the booking or travel service requested.
This includes, without limitation:
- passenger names exactly as they appear on passports or travel documents
- dates of birth
- nationality
- gender or title, where required by the supplier
- passport and identity document details
- visa, residency or immigration status information
- contact details
- email addresses and telephone numbers
- travel dates
- origin, destination and transit airports
- preferred flight numbers, times, cabins and fare types
- baggage requirements
- seat preferences
- accessibility or special assistance requirements
- dietary, medical or religious requirements relevant to travel
- frequent flyer or loyalty program details
- payment details
- billing details; and
- any special requests or restrictions
Before any booking is submitted, ticketed, changed, cancelled, refunded or otherwise acted on, you must carefully review the relevant details and tell us immediately if anything is incorrect or incomplete.
If you provide incorrect, incomplete, outdated or misleading information, we will use reasonable efforts to help you correct the issue where correction is possible and where there is sufficient time to do so. However, airline, airport, government, fare, ticketing and supplier rules may prevent corrections or may require additional fees, fare differences, cancellation charges, rebooking costs or the purchase of a new ticket.
To the maximum extent permitted by law, we are not liable for loss, delay, refusal of carriage, denied boarding, cancellation, missed travel, additional costs, fare differences, visa or entry issues, loyalty program issues, or other consequences arising from inaccurate, incomplete, outdated or misleading information provided by you, except to the extent caused by our own negligence, breach of law, or breach of these Terms.
Booking requests, fares and availability
A booking request is not confirmed merely because you have submitted a request, received a quote, received a search result, received an itinerary option, or communicated with us.
Fares, taxes, fees, availability, flight schedules, fare rules, booking classes and ticketing deadlines may change without notice until the booking is confirmed and ticketed by the airline or relevant supplier.
We do not guarantee that a quoted fare, seat, route, cabin, award availability, or itinerary will remain available.
A booking is only confirmed when the relevant airline or supplier confirms the booking and, where applicable, a ticket has been issued.
We may refuse, pause or cancel assistance with a booking request if:
- the fare is no longer available
- the airline or supplier declines or fails to confirm the booking
- payment is not received or authorised
- fraud, misuse, error or security concerns arise
- required information is missing or appears inaccurate
- the booking appears to breach airline, supplier, loyalty program or legal requirements
- the booking is affected by sanctions, restricted parties, export controls, anti-money laundering requirements, or similar compliance concerns
- we reasonably consider that the request is unlawful, abusive, misleading, impractical or inappropriate; or
- we are unable to complete the request within the required time
Prices, fees and payment
Prices may include airline fares, taxes, carrier charges, airport charges, payment processing fees, service fees, booking assistance fees, change assistance fees, cancellation assistance fees, refund assistance fees, currency conversion costs, supplier fees and other charges.
We will use reasonable efforts to disclose our own service fees before you commit to a paid service or booking request.
Airline and supplier charges are determined by the relevant airline or supplier and may change without notice.
Unless expressly stated otherwise:
- all prices are quoted in the currency displayed at the time of quote
- prices may be affected by exchange rates and payment processing costs
- our service fees are separate from airline or supplier charges
- airline and supplier charges may be non-refundable
- our service fees may be non-refundable once work has commenced or a booking request has been processed; and
- you are responsible for all applicable taxes, fees, fare differences, cancellation charges, rebooking charges, supplier charges and payment costs
You authorise us, our payment processors, airlines, suppliers or booking partners to process payments required for your approved booking or service request.
We may require payment before commencing work, making a booking, issuing a ticket, changing a booking, cancelling a booking, or requesting a refund.
Payment security, fraud checks and chargebacks
We may carry out identity, payment, fraud prevention, sanctions, security, risk or compliance checks before accepting or processing a booking request.
We may refuse, suspend, delay or cancel a booking request if we reasonably consider that there is a risk of fraud, unauthorised payment, identity misuse, chargeback abuse, account compromise, sanctions exposure, supplier rule breach, or other improper conduct.
You must not initiate a chargeback, payment dispute or reversal for a validly authorised charge without first contacting us and giving us a reasonable opportunity to investigate and respond.
This does not limit any rights you may have under applicable law, card scheme rules, payment provider rules, or consumer protection laws.
Changes, cancellations, refunds and credits
Changes, cancellations, refunds and credits are subject to the rules of the relevant airline or supplier.
Some fares may be non-refundable, non-changeable, partially refundable, or changeable only with fees and fare differences.
If you ask us to assist with a change, cancellation, refund or credit, we will use reasonable efforts to assist. However, we do not guarantee that the airline or supplier will approve the request.
Refunds and credits may take time to process and may depend on airline or supplier systems, payment processors, card issuers, banks, booking channels and other third parties.
Unless required by law or expressly agreed otherwise, our own service fees are not automatically refundable merely because an airline or supplier provides a refund, credit, cancellation, waiver or schedule change.
Schedule changes, delays, cancellations and disruptions
Airlines and other suppliers may change schedules, cancel flights, delay flights, re-route services, change aircraft, alter cabins, change seats, impose operational restrictions, or deny boarding.
We do not control those decisions.
If your travel is disrupted, we may assist you in communicating with the airline or supplier, understanding available options, requesting rebooking, requesting refunds or credits, or identifying alternative travel options.
However, final decisions about flight operations, rebooking, refunds, compensation, accommodation, meals, delay handling, baggage, denied boarding, passenger acceptance and travel disruption remedies are made by the relevant airline, supplier, regulator, court, tribunal or dispute resolution body.
Passports, visas, transit, health and entry requirements
You are responsible for ensuring that you and all travellers in your booking satisfy all passport, visa, immigration, transit, customs, health, vaccination, testing, documentation and entry requirements.
These requirements may depend on nationality, residency, passport type, travel history, transit points, ticket type, destination, purpose of travel, length of stay, age, health status and government rules.
We may provide general assistance or links to information, but unless expressly agreed in writing, we do not provide legal, immigration, medical, consular or government advice.
You should verify all requirements with official government sources, embassies, consulates, airlines and relevant authorities before travel.
We are not liable for denied boarding, refused entry, deportation, quarantine, fines, missed travel, additional costs or other consequences arising from your failure to meet travel documentation, visa, health, immigration or entry requirements, except to the extent caused by our own negligence, breach of law, or breach of these Terms.
Passenger names and identity documents
Many airlines require passenger names to match passports or identity documents exactly.
Name changes, name corrections, title corrections, spelling corrections, date of birth corrections and passport detail corrections may be restricted, time-sensitive, costly or impossible.
You must check all passenger details carefully before ticketing and immediately after receiving any booking confirmation or itinerary.
If you identify an error, you must notify us immediately. We will use reasonable efforts to assist where correction is possible and there is sufficient time.
Loyalty programs, frequent flyer points and award travel
If we assist with loyalty program, frequent flyer, points, miles, award travel, upgrade or redemption requests, you remain responsible for complying with the terms of the relevant loyalty program.
Award availability, redemption rates, fees, taxes, carrier charges, upgrade availability, transfer times, partner airline availability and loyalty program rules may change without notice.
We do not guarantee:
- that award seats or upgrades will be available
- that points or miles will have any particular value
- that a loyalty program will permit a booking, transfer, redemption, cancellation or change
- that a loyalty program account will remain open or unrestricted
- that partner airline availability will match what is shown on another website; or
- that award travel will remain available until ticketed
You must not ask us to access, use, transfer, sell, buy, pool, redeem or manipulate points, miles, accounts, benefits or loyalty program credentials in a way that breaches applicable loyalty program rules or law.
Special assistance, medical, accessibility and dietary requests
If you require wheelchair assistance, mobility assistance, medical clearance, oxygen, assistance animals, special meals, religious accommodations, disability accommodations, child travel arrangements, unaccompanied minor assistance, pregnancy-related clearance, or other special handling, you must tell us before booking and as early as possible.
We may assist with requests, but airlines and suppliers decide whether a request can be accepted or accommodated.
Some requests require advance notice, medical forms, airline approval, additional fees, airport arrangements, or specific documentation.
We are not responsible for an airline or supplier declining, failing to provide, or inadequately providing a special service, except to the extent caused by our own negligence, breach of law, or breach of these Terms.
Customer responsibilities
You agree to:
- provide accurate, complete and current information
- review all booking details carefully
- respond promptly to requests for information or approval
- comply with airline, supplier, airport, government and legal requirements
- pay all amounts due
- use our services lawfully and respectfully
- keep your own email, phone, payment, passport and travel details up to date
- monitor your itinerary for schedule changes
- check in on time
- arrive at the airport with sufficient time
- carry all required documents
- comply with baggage, security and boarding rules; and
- tell us immediately if you become aware of an error, issue or change affecting your travel
User conduct and misuse of services
You must not misuse our website, services, chat features, booking assistance, systems, content, communications, or any information made available through Needle Tailed Swift.
Misuse includes, without limitation:
- providing false or misleading information
- impersonating another person
- making unauthorised bookings or requests
- using another person’s payment method without permission
- interfering with our systems
- attempting to obtain confidential information
- scraping, copying or harvesting data without permission
- using automated tools without authorisation
- using our services for surveillance or competitive intelligence
- harassing, threatening, abusing or misleading our staff, contractors, customers or users
- breaching airline, supplier or loyalty program rules
- submitting unlawful, fraudulent, abusive or deceptive requests
- attempting to bypass fees, controls, fraud checks or access restrictions
- using our services to facilitate unlawful travel, sanctions evasion, trafficking, fraud or other illegal conduct; or
- doing anything that may damage our business, systems, reputation, customers, suppliers, partners or vendors
You are responsible for your own conduct and for any information, instructions, requests, documents or materials you provide to us.
To the maximum extent permitted by law, misuse of our website or services by any user does not create responsibility, liability, endorsement, approval, association, reputational responsibility, or other consequences for Needle Tailed Swift, its officers, directors, employees, contractors, customers, partners, suppliers, vendors, or other users.
Nothing in this clause excludes, restricts or modifies any right, guarantee, remedy or liability that cannot lawfully be excluded, restricted or modified.
Airline employees and industry participants
If you are employed by, contracted to, seconded to, affiliated with, or acting on behalf of any airline, airport, travel provider, loyalty program, global distribution system, technology provider, regulator, government agency, competitor, or related aviation or travel industry organisation, you must disclose that affiliation to Needle Tailed Swift before using our website, services, chat features, forms, booking assistance, or communication channels.
Your disclosure must include:
- the name of the organisation
- your role or position
- whether you are using our services in a personal capacity; and
- whether your use relates to your employment, engagement, investigation, commercial activity, professional duties, monitoring, research, complaint handling, enforcement, or any other non-personal purpose
You must not misrepresent your identity, capacity, affiliation, role or purpose.
We may refuse, suspend, limit or terminate access to our website, services or chat features if we reasonably consider that a person has failed to make an appropriate disclosure, has provided misleading information, or is using our services for a purpose inconsistent with these Terms.
Chat features and electronic communications
We may provide support through chat, email, web forms, messaging platforms, telephone, or other communication channels.
You agree that we may retain communications for service delivery, quality assurance, fraud prevention, security, dispute resolution, legal compliance, training and business record purposes.
You must not submit unnecessary sensitive information through chat or web forms.

Consumer rights and non-excludable guarantees

Where we are permitted to limit our liability, our liability is limited, at our option and to the maximum extent permitted by law, to:

- inaccurate information provided by you
- third-party website, payment, booking or system failures
- indirect, consequential, special, punitive or exemplary loss
- loss of profit, opportunity, business, goodwill, reputation, data, points, miles, status credits or travel benefits
- costs arising from your failure to check booking details or travel requirements
- unauthorised use of your account, email, payment method or communication channel; or
- events outside our reasonable control,
- except to the extent caused by our own negligence, breach of law, or breach of these Terms
Indemnity
To the maximum extent permitted by law, you agree to indemnify Needle Tailed Swift, its officers, directors, employees, contractors, agents, partners, suppliers and vendors against losses, costs, claims, liabilities, damages and expenses arising from:
- your breach of these Terms
- your misuse of our website or services
- inaccurate, incomplete, outdated or misleading information you provide
- unauthorised use of another person’s personal information or payment method
- your breach of airline, supplier, loyalty program or legal requirements
- your unlawful, fraudulent, abusive or negligent conduct; or
- a claim by another traveller for whom you made or requested a booking without proper authority
This indemnity does not apply to the extent the loss is caused by our own negligence, breach of law, or breach of these Terms.
Suspension and termination
We may suspend, restrict or terminate your access to our website, services, chat features or communications if we reasonably consider that:
- you have breached these Terms
- you have provided false, misleading or incomplete information
- your conduct creates legal, security, fraud, operational, reputational or supplier risk
- your use is abusive, unlawful, threatening or inappropriate
- we are required or requested to do so by a supplier, payment processor, regulator, law enforcement body, court or government agency
- continuing to provide services would breach law, supplier rules or our compliance obligations; or
- we are otherwise unable to safely or lawfully continue providing services
Privacy

By using our services, you agree that we may collect, use, disclose, store and otherwise handle personal information in accordance with our Privacy Policy.
